operates www.felicitykates.com (Website). This Policy, together with our
Cookie Policy sets out the basis on which we (Felicity Kate’s) processes
personal data via our website.
Information we collect about you.
Our website may collect technical information such as your internet
protocol (IP) address used to connect your computer to the Internet, your computers
operating system, browser type and version. The path you take through our website.
We collect information about your visit to our website page response
times, length of visits to certain pages, page interaction information (such as
scrolling, clicks, and mouse-overs), and methods used to browse away from the
page.
When you complete and submit your details via our contact form (for
example name, telephone number, email) data is delivered securely through a third-party
processor Bonline.
When you make a purchase through the website, either purchasing a gift
voucher or booking deposit, the site will collect the necessary financial information
to fulfil, confirm and process your order/booking. All online transactions are
made securely thought the payment platform Stripe. Please read their Privacy
Policy prior when placing the orders through their site.
We will collect your email address when you register for our Newsletter
or join our appointment cancellation/waiting list.
All Felicity Kate’s Newsletters have an Unsubscribe link to allow you to
easily opt-out of future correspondences.
How we use the information we collect
We use the information to manage your online booking appointment you
make through our online booking platform. We may use your information to contact
you to cancel or amend your booking and for general administration purposes.
This site is intended for adults only.
Felicity Kate’s website is not intended for children, and we do not ever
knowingly collect any personal identifiable information from anyone under the age
18. If you are a parent of guardian and believe that you child has given us

We store your personal data on our secure onsite server. We take

Terms and Conditions
At Felicity Kate’s we aim to offer a high service, however late
cancellations, reschedules and “no show” appointments have a detrimental effect
on small businesses. This is the reason why we now have updated the way we take
online/telephone and salon bookings.
Online bookings
All online booking will include a 50% non-refundable, (if
you do not comply with our terms and conditions) deposit. Booking taken over
the phone or booked in the salon may now also incur a booking deposit. If you
have a gift voucher, please call the salon to book your appointment, as you
cannot redeem gift vouchers for an online booking deposit.
Cancellations/Reschedule
If you need to cancel or reschedule your appointment at Felicity
Kate’s, we ask that you please notify us at least 48 hours in advance. Unfortunately,
if we receive:
Please call Felicity Kate’s to confirm your cancellation or to
reschedule on 01288 356166. If someone is not available to take your call,
please leave a voicemail. We cannot accept an email (as this may end up in our
spam folder) or any communication through any social media.
Late Shows
If you turn up late for your appointment, then your
treatment might have to be adjusted to suit the amount of time that there is left,
and the cost of the full treatment will be charged.
Booking Reminder
A text and/ or email will be sent out 48 hours prior to your
appointment at Felicity Kate’s. Please check that all details of your treatments
are correct, as you may be charged for the appointments booked, even if you
don’t have that full treatment. If you
are unsure of the treatments, you have booked or think they are wrong, or wish
to change the appointment. Please contact us immediately, to amend your booking.
Felicity Kate’s however cannot be held responsible for any non-notifications
due to system errors.
Treatment Courses
All beauty courses need to be used within their scheduled
times. A course can be extended, due to unforeseen circumstances from both
client or therapist, but must be used within 2 months of their last appointment
date. Any unused appointments will not be valid, and the cost of the treatment
cannot be refunded. Any remaining cost maybe able to be transferred to another
treatment, however the course will revert to the cost for the individual treatments,
and you will lose the benefit of the course discount. Any courses purchased
cannot be refunded but can be transferred to other treatments or another person.
Gift Vouchers
All standard Felicity Kate’s Gift Cards are valid for 12
months from the date of purchase. Vouchers purchased for special offers, may
have a different use by date.
A minimum spend of £25 is available on online, but a smaller
amount may be purchased in the salon. Vouchers are available online, over the
phone or in the salon. We offer both standard card gift voucher and Evoucher.
Evouchers are not automated, so they will be produced and emailed out at our
earliest opportunity.
Gift vouchers cannot be refunded but may be transferred to
another person. The value of the voucher can be used for multiple treatments or
products. No change will be given on any remaining balance Gift Cards cannot be
exchanged for cash.
Payment
We accept cash and most major credit and debit cards. All
prices are inclusive of VAT.
Patch Testing
Patch testing is required for the following treatments.
For treatments that require a patch test, this must be
performed by us 48 hours before your appointment. We are unable to carry out
any of the above treatments if you have not had a patch test with us. If you
have a reaction from a patch test, we will unfortunately not be able to carry
out that treatment and any deposit that have been taken for a treatment will be
added to your account or refunded as requested.
A treatment that requires a patch test will need to be tested
if you have not been in the salon for 12 months or have had a change in your
medical/health conditions. So please inform us if you know of any change that
might mean we cannot complete your treatment.
Under 18 restrictions
We love to see our younger clients at Felicity Kate’s.
However, anyone under the age of 18 will need written consent and a
consultation card completed in the salon, and for some more intimate treatments
the parent to be present throughout the treatment. Failure to do so will result
in the treatment having to be cancelled and rescheduled for a time that a
parent or guardian can be there throughout the entirety of the treatment. There
may be a charge incurred should this happen.
New health concerns or changes medication
If you have any new health concerns or have started taking any
new medication since your last appointment, then please inform us before your
appointment. This might affect whether we can continue with your appointment.
Mobile phone
We understand that from time to time you might need to be
contacted by phone, but we politely ask that you turn your phone to silent.
Treatment rooms
We offer a variety of treatments at Felicity Kate’s, from relaxing,
to more essential treatments. We ask that moving between treatment room and
reception all clients keep as silent as possible to respect the other clients.
Complaints. At Felicity Kate’s client
satisfaction is very important to us. If you are unhappy with the service we
have given, please let us contact us immediately so that we can rectify or
improve the outcome for you. We might require you coming into the salon to show
us of any imperfection e.g. problems with nail polish application, as a photo
would not be sufficient. We will treat
all issue individually and ensure that we resolve any issues.
Liability. Felicity Kate’s will not accept
liability for any damage or the theft of belongings whilst you are in the salon.

insurance company and their regulations. We also use this information you
provide as a way of being able to contact you (the client) in relation to
communication for appointment bookings, amendment of bookings and appointment
booking reminders. Appointment reminders will only be activated through our
salon booking software (SI Cloud) on your consent.
We also use the above information collected for the
use of marketing. During the consultation process you will be asked to state
whether you consent to marketing notification.
Newsletters will only be sent at your permission.
Medical and
lifestyle information
When we ask you to supply us with personal and medical
information in the form of an online form, computerised, written or verbal
consultation, we will make it clear whether this data we are asking for, must
be supplied or is optional.
We ask for this data to ensure we can provide you with
the best treatments and products tailored for you. Some of our treatments or products may be contraindicated.

If permission is given, offer marketing tailormade for
you providing you with newsletters, surveys, information about our events,
offers, and promotions which may be of interest to you.

We take all reasonable steps to ensure that our staff protect your
personal data and are aware of their information security obligations.
No information will be shared with any third party,
other than our insurance provider, if a claim was raised. Or an IT service provider.
Photos
This is something we are starting to use to document
the results of certain treatments at Felicity Kate’s. All current and future
photos will be store securely on our data base. Photos will only be taken with
your permission. They will not be used for any other purpose than which it was
taken and would be not shared with any third party We will not display this photo for the use on social medial unless
permission is granted, and a consent form signed.
All photos will be erased
when the reason for them being taken is not needed.
Phone messages
We currently take down written messages which include clients
name, phone number and details of treatments requested. This message will be
kept until we have contacted you (the
client) and then disposed of securely. The name and telephone number of new
clients will then be added to our secure data base, if you have booked an
appointment and used for the reasons stated above.
How long will we keep your personal data?
For the purpose of insurance, to ensure compliance, the organisation
must hold your personal data on file for a minimum of 7 years following your
last appointment in the salon.
